Performance reviews should be about people, not paperwork. But for most managers, the conversation is the easy part; it’s the hours of writing up notes afterwards that’s the real burden. As a result, managers juggle note-taking during conversations when they should be actively listening, and sometimes the conversation that happened in the room doesn’t quite match what ends up in the system.
That’s about to change with Appraisd’s AI Notetaker.
Introducing Appraisd’s AI-powered Notetaker
The AI Notetaker is Appraisd’s new AI-powered tool, and it’s our answer to one of the biggest pain points in performance management - the administrative burden that keeps managers from doing what they do best.
The Appraisd AI Notetaker isn’t just an AI feature, it’s going to change how performance conversations work; cutting admin time, allowing managers to focus on the conversation, provide an accurate record, and creating consistency in outputs all while respecting data privacy and security.
How did we develop Apprasid’s AI Notetaker?
Since the early days of Appraisd we’ve advocated for co-creating new solutions with our clients who are living the challenges that HR practitioners face daily. To ensure our proposal was is line with our commitment to ethical and responsible AI, we talked to customers about their use, needs and concerns around AI in performance management.
Here’s what they told us:
- Sentiment about AI in performance management is generally positive with many customers already actively exploring AI. In sectors that have high privacy needs, such as the public sector, there is still positive sentiment, balanced with caution about security.
- The most common ways in which companies are using AI in performance management are summarisation of information, assistance with improving written style, and internal chatbots.
- The biggest perceived benefit is time-saving for managers, especially those with many direct reports who spend hours every year on performance reviews.
- Concerns about using AI in performance management relate to security, privacy, access and psychological safety for employees.
Talking to our customers about their needs and priorities confirmed that Appraisd’s first AI-powered notetaking feature would be an AI transcript tool that improves accuracy and outcomes from reviews, speeds up the review process whilst increasing visibility, and encourages fair and inclusive practices.
AI in performance management
We’re not the only ones making our product future-ready through AI-powered developments.
But as with all high-profile innovation, there are safeguards to be put in place and concerns to be respected.
Research has found that 21% of employees (in a survey of 1000) have already had their performance evaluated by AI. Yet 23% felt misjudged by an AI system, and 66% trust AI tools less than human-led performance management so it was essential that the solution we developed addressed concerns raised during our discovery and pilot phase.
Overcoming concerns about ethics in AI
We knew we wanted to do things differently: to create a solution that would re-define performance management conversations but that would also safeguard employees and meet compliance and security requirements.
The questions we worked through addressed concerns about openness and psychological safety during recorded conversations, potential misinterpretation of accents, and the over-formalisation of informal or candid feedback moments.
The result is our AI Notetaker captures performance conversations automatically then generates intelligent, structured, editable meeting notes for each question in your review. Think of it as a personal assistant for performance reviews that captures every conversation, remembers every detail, and helps managers write better feedback in a fraction of the time.
Benefits for you and your managers
Our AI transcribing tool unlocks the full potential of performance reviews:
- Cuts admin time. No more time spent by managers after meetings trying to make out their notes. The AI Notetaker does the heavy lifting so managers can focus on polishing and personalising the AI-generated output.
- Focus on the person. Managers can be fully present in the conversation, building rapport and listening actively, without worrying about capturing every detail.
- Accurate records. Ensure that important points aren’t missed or information misconstrued. The AI-powered Notetaker captures every detail accurately, and notes can be edited afterwards.
- More consistent feedback. When managers aren’t struggling with manual note-taking, they can provide more thoughtful, comprehensive feedback that the AI Notetaker collates into a consistent format.
- Confidence for HR. HR can see when recordings exist for reviews, providing peace of mind that managers are having conversations, not just filling in the paperwork.
- Privacy-first approach. Recordings and notes are only visible to people named on the review (employee, manager, and any additional reviewers). HR doesn’t automatically access recordings, maintaining psychological safety for open conversations. What’s next?
We’re excited to be taking Appraisd’s AI notetaker to market, but this is just the beginning. What’s next? Tools that power a fundamental rethink of how we manage, motivate and develop people:
How can we use AI agents to coach managers and those who are looking for their next career step? How can we apply AI to target training and development needs or aspirations? What’s the role for AI in goal and objective setting? We’re working on ideas that make personalised support available at scale; tools that make more space for human touch-points, tools that unlock the full potential of every individual, team, and business.
